Privacy Policy

When you join an Art Safari, we want to try to fulfil your dreams.  In those wonderful weeks, months and years when you’re planning to travel with us and you’re deliberating about which trip or workshop to join, we want to be able to send you ideas and our dreams and experiences of art and travel.  We may need to ask you for contact details and personal information to provide you with the best possible service, to make the right arrangements for you and to process payments.

Art Safari Ltd is a registered tour operator (Reg in England No. 4627042) operating Art Safari painting holidays and Close Encounters Travel.

We are committed to protecting and respecting your privacy. We will only use the information that we collect about you lawfully (in accordance with the relevant Data Protection Acts including the General Data Protection Regulation (EU) 2016/679. In the DPA and GDPR terminology, Art Safari Ltd is the ‘data controller’ and so we determine how your personal information is used. Art Safari Ltd is located at The Harbourmaster’s Office, Ferry Quay, Woodbridge, Suffolk, IP12 1BW.

We will not e-mail you in the future unless you have given us your consent, either explicitly, or by opting in to one of our email lists. Please stay in touch and join our mailing list.

We will give you the chance to refuse (or unsubscribe from) any marketing email from us in the future. The type of information we may collect about you may include: your name, address, phone number, email address.

We will never collect sensitive information about you without your explicit consent.

The information we hold will be accurate and up to date. You can check the information that we hold about you by emailing us. If you find any inaccuracies we will delete or correct it promptly.

The personal information which we hold will be held securely in accordance with our internal security policy and the law.

If we intend to transfer your information outside the EEA (European Economic Area) we will always obtain your consent first.

We may use technology to track the patterns of behaviour of visitors to our site. This can include using a “cookie” which would be stored on your browser. You can usually modify your browser to prevent this happening. The information collected in this way can be used to identify you unless you modify your browser settings.

There are three bases under which we process your data:

Contract purposes

When you travel with us, we will use your data in order to fulfil our contract with you; for example, to confirm tour information and flights with you, to post departure information to you or contact you in the event of a cancellation. When you book a tour with us, we may ask for your passport details, insurance details, health, accessibility, disabilities and dietary requirements and your emergency contact details.  We use this information to arrange travel and bookings on your behalf.  We may retain some of your personal information if you are a regular guest. We destroy sensitive information after a limited time.

If you ask us to stop processing or delete your information while we still have an open contractual obligation to you, such as your participation in a tour or workshop you have not yet attended, we will only do so after the contract has been completed or cancelled and refunded if this is possible.

Legitimate business interests

When we meet you at art or travel shows, we ask you to join our mailing list and we process your personal data for purposes that are in our legitimate organisational interests. We process your data in order to: inform you of news, tours, events, workshops and services we believe you will be interested in; and on booking, as an Art Safari guest, for administrative purposes such as accounting and fulfilment of our Air Travel Operator’s Licence (ATOL). We will always consider your right to privacy and ensure that our use of data is proportionate.

If ever we were to consider a change of ownership, then we may share your personal information to prospective buyers of our business or assets.

We process some data we hold anonymously (for example sales history, favourite destinations, approximate place of residence and ATOL and insurance relevant data) to  help us plan our future activity.

With your explicit consent

If you have booked an Art Safari or Close Encounters Travel tour with us, as your tour operator we may be required to share your data with our trusted tour leaders and with our trusted travel partners, for example an airline, a hotel or a destination management company.  If your data could fall into this category you will be asked to consent to this at an appropriate time, for example during your participation in a tour abroad. We apply UK data protection law to our processing and instruct all third parties to do the same, so we do not share your personal information with third parties for them to use for marketing purposes or for those third parties to use your information for their own purposes. You may request that we delete your data but where we are required to maintain the integrity of our records we may choose to anonymise your data instead.

We take appropriate steps to maintain our contact information in a secure environment to prevent unauthorised use. Our processors are bound by contract to do the same.

If you use your credit or debit card to purchase from us or to make a donation to one of the charities we support, we will ensure that this is carried out securely. Art Safari is accredited with the Payment Card Industry Data Security Standard (PCI-DSS).

If you have any concerns or complaints, please contact us.  If you are not happy with our response, you have the right to lodge a complaint with the supervisory authority, The Information Commissioner’s Office – www.ico.org.uk.

Data Protection law recognises that certain categories of personal information are more sensitive such as health information, race, religious beliefs and political opinions. We do not collect this type of information without your consent. For example, we may keep record of airport assistance or food intolerances along with any reasons you provide for the request. We will only use this information in order to facilitate your visit or otherwise accommodate your needs and it will not form part of any of the other processing described in this policy.
